Responsibilities

Responsibilities

  • assists the BO Operations Coordinator (OC) in current activities;
  • contact person for clients in the audit planning process, transmitting audit notification messages to clients, receiving proposed periods, assists the OC in preparing the monthly schedule and communicates to clients the established dates and the audit plans prepared by the auditors designated by the OC;
  • prepares and transmits the auditor pack to each auditor together with the previous audit report or the documents required from clients and necessary for the audit team (organization charts, system documentation, various records, etc.);
  • ensures the planning in Siebel of the audits and the generation of jobs to the designated auditors;
  • prepares the issuance of certificates after the certification files have been validated by LTM/CER BUM or by ICC, their recording in certlog and their transmission for signing to CER BUM';
  • assists CER BUM/LTM in keeping the auditors' qualification files in Siebel;
  • transmits the issued certificates to clients, follows up on the receipt of the form regarding client satisfaction which it processes with the BUM and archives;
  • ensures the generation of invoices in ZIG and their transmission to the client;
  • assists the OC in following up on the receipt of the service record sheet from the auditors;
  • receives the certification/re-certification/surveillance audit reports, checks them from an administrative point of view, allocates a number from certlog and transmits the technical file package to the LTM/Deputy (as the case may be) for validation;
  • ensures the archiving in Siebel/server of the technical files and of the certification/re-certification/surveillance audit reports;
  • records the non-conformities issued for all the audit reports (certification/re-certification/surveillance) and follows up on their resolution with the client and the auditor who issued them
  • assists the BUM in the capacity of training administrator: prepares the course materials and related documents, including the preparation of diplomas for trainees;
  • operating the Siebel Production application – feeding it with primary data – but also ACTIS and other applications specific to CER;
  • performs other tasks specific to CER within the limit of and in accordance with the delegation of tasks by the BUM.
Requirements

Requirements

  • Studies: Higher education (Profile: Technical, Economic Engineering,)
  • Experience: Minimum 2 years in customer service;
  • English and PC operation – advanced level;
