We are looking for a Personal Assistant to CEO, an organized, proactive, discreet and detail-oriented person, who will support the CEO in managing daily activities and in implementing the company's strategies.

Job description

The Executive Assistant / PA to CEO plays an essential role in optimizing the flow of activities and information at the top management level. The person in this role will manage the CEO's agenda, will facilitate internal and external communication and will provide high-level administrative support.

Responsibilities include organizing meetings, coordinating business trips, drafting official documents and managing strategic projects. With a professional and solution-oriented approach, the Executive Assistant contributes to operational efficiency and to achieving the company's executive objectives.

  • Managing and optimizing the CEO's agenda, ensuring efficient time planning.
  • Organizing and coordinating internal and external meetings, including preparing the necessary materials.
  • Facilitating communication between the CEO and the executive team, partners and collaborators.
  • Organizing the logistics for business trips (flights, accommodation, transport, meetings).
  • Administering and drafting official correspondence, e-mails and other business documents.
  • Preparing and reviewing presentations, reports and strategic documents for the CEO.
  • Ensuring the confidentiality and protection of sensitive information.
  • Tracking and managing the CEO's priorities and deadlines.
  • Organizing and coordinating executive events, conferences and networking meetings.
  • Managing and archiving important documents of the company and of the CEO.
  • Assistance in implementing and monitoring the CEO's strategic projects.
  • Close collaboration with all departments in order to facilitate operational flows.
Requirements

Requirements

  • Completed higher education in relevant fields (Business Administration, Communication, Economics, Law, etc.).
  • At least 3-5 years of experience in a similar role of Executive Assistant / PA for top management or CEO.
  • Excellent organization, prioritization and time-management skills.
  • Discretion and professionalism in handling confidential information.
  • Excellent verbal and written communication skills, both in Romanian and in English.
  • Advanced knowledge of English (written and spoken) – mandatory.
  • Advanced knowledge of MS Office operation (Word, Excel, PowerPoint, Outlook).
  • Capacity for multitasking and quick problem-solving.
  • Proactive spirit, initiative and solution orientation.
  • Availability for a flexible schedule, depending on the CEO's needs.
  • Capacity for networking and relating with executive-level persons.
